How payments work

Last updated: 13 October 2026

A plain-language guide to getting paid on KasiRoots — from the moment a customer clicks Buy to the rand landing in your bank account.

1. How money moves

Every sale on KasiRoots goes through four stages. Understanding these stages helps you know exactly where your money is at any point in time.

  1. 1

    Customer pays

The customer completes checkout using PayFast (card, EFT, or SnapScan). The full order amount is captured immediately.

  2. 2

    Funds held in escrow

After payment clears, your earnings enter a 7-day hold period. This security window protects both you and the buyer while the order is fulfilled and delivered.

  3. 3

    Hold lifted — funds cleared

As soon as the buyer confirms they received the order — or once the 7-day window passes without a dispute, whichever comes first — your earnings move from Held to Available in your Earnings dashboard.

  4. 4

    Paid out to your bank

Every Monday morning KasiRoots batches all Available balances and transfers them to your registered bank account. You'll receive a payout receipt by email.

You can track every transaction's stage in real time from your Earnings dashboard.

2. Commission structure

KasiRoots charges a platform commission on each completed sale. Here's exactly how the math works on a typical order.

The gateway fee is charged by PayFast and passed through at cost. KasiRoots does not mark it up. Commission rates may be revised with 30 days' notice — see our Terms of Service.

3. The 7-day hold period

After an order's payment clears, your earnings are held for 7 calendar days from the time the order was placed, or until the buyer confirms they received the order — whichever comes first. This escrow period exists to:

  • Give buyers time to confirm delivery and flag any obvious problems.
  • Protect you from fraudulent chargebacks on brand-new transactions.
  • Comply with PayFast's merchant risk guidelines.

Held

Earning is within the 7-day window and the buyer hasn't confirmed receipt yet. No action needed from you.

Cleared

Hold lifted. Funds are available and will be paid out next Monday.

Paid out

Transfer sent to your bank. Check your payout receipt for the reference.

If a buyer opens a dispute during the hold period, the affected amount is frozen until the dispute is resolved. See Section 6 for details.

4. Payout schedule

Payouts run automatically every Monday morning. All earnings with a "Cleared" status at the time of the batch are included.

Things that affect your payout

  • ⚠️If your bank details are not verified, payouts are held until verification completes.
  • 🔒Funds under an active dispute are excluded from the batch and frozen until resolved.
  • 📋Refunds approved after a payout has already been sent are deducted from your next payout.
  • 🏦Public holidays may delay bank settlement by one business day — the payout itself still runs on Monday.

You can view all past payouts and download receipts from Dashboard → Earnings.

5. How to add or update your bank details

Your payout bank account is set in your store settings. KasiRoots requires a valid South African bank account — we currently support ABSA, African Bank, Capitec, Discovery Bank, FNB, Investec, Nedbank, Standard Bank, TymeBank, and other local banks.

  1. 1

Go to Dashboard → Settings → "Banking details"

From your store settings, scroll to the Banking details section.

  2. 2

    Enter your banking information

Provide your bank name, account holder name (must match your ID), account number, branch code, and account type (cheque or savings).

  3. 3

    Submit for verification

KasiRoots reviews submitted bank details before activating payouts. This typically takes 1–2 business days. You'll receive an email when your details are approved.

  4. 4

Keep your details up to date

If you change banks, update your details before the Monday payout batch runs. Payouts sent to incorrect or closed accounts may be delayed significantly.

Never share your bank details outside of the official Settings page. KasiRoots will never ask for your banking information via email or WhatsApp.

6. The dispute process

A dispute is opened when a buyer reports a problem with their order (item not received, wrong item, damaged goods). Here's what happens and what you need to do.

  1. 1

    Buyer opens a dispute

The buyer submits a dispute from their order page. The affected funds are immediately frozen, and you are notified by email and via a dashboard alert.

  2. 2

You respond within 3 business days

Go to Dashboard → Disputes and submit your response with supporting evidence: delivery photos, tracking numbers, courier receipts, and any buyer correspondence.

  3. 3

    KasiRoots reviews

Our team reviews both sides within 5 business days. We may request additional evidence from either party.

  4. 4

    Resolution

Depending on the outcome, funds are either released to you or refunded to the buyer. You will be notified of the decision by email.

Dispute outcomes

Resolved in your favour

Frozen funds are released and re-enter the normal payout cycle.

Resolved in buyer's favour

Full or partial refund issued to the buyer; amount deducted from your pending balance or next payout.

No seller response (3-day deadline missed)

KasiRoots may automatically resolve in the buyer's favour.

For full policy details, see our Dispute Resolution Policy.

7. Frequently asked questions

When exactly does my 7-day hold start?+

The hold starts from the timestamp of successful payment — not from delivery. So if a customer pays on Monday at 10:00, the hold clears the following Monday at 10:00 at the latest. If the buyer confirms receipt sooner, the hold is lifted right away and the earning joins the next Monday payout.

What if Monday is a public holiday?+

The payout batch still runs on Monday, but your bank may take an extra business day to settle. Funds typically arrive by Wednesday on public holiday weeks.

Why was my payout smaller than my cleared balance?+

A refund or dispute resolved in a buyer's favour may have been deducted before the batch ran. Check your Earnings dashboard for a full transaction-by-transaction breakdown.

Can I request an early payout?+

Not at this time. All payouts run on the fixed Monday schedule. Early payout on-demand is a feature planned for paid tiers.

What happens if my bank details are wrong and a payout fails?+

Failed payouts are returned to your KasiRoots balance and will be retried on the next Monday batch after you correct your bank details. Contact support immediately if this happens.

Is there a minimum payout amount?+

Yes — the minimum payout is R50.00. If your cleared balance is below this threshold, it rolls over to the following Monday.

How do I get a receipt for my payouts?+

Go to Dashboard → Earnings and click View next to any payout entry to open a printable receipt.

What do I do if I think a dispute decision was wrong?+

Email legal@kasiroots.co.za within 7 days of the decision with your order number and the grounds for your appeal. We review every escalation within 5 business days.
